A price list is easy to create in Excel. Keeping the same list current across ten, fifty or a hundred medical representatives is much harder.
A common field problem is an MR quoting from a forwarded file that is several versions old.

Price-list software helps most when there is also a clear policy for who owns the numbers.
- One approved product master
- Named owner for rate changes
- Clear change-effective dates
Create one controlled source
Choose the company owner of the master price list and define who is allowed to edit product name, pack, MRP, PTR and PTS. Use consistent product codes where possible.
When packs change, do not silently overwrite the old entry without recording the replacement. The sales team needs to know which listing is valid today.
Keep the field view simple
An MR standing in a pharmacy does not need a full procurement spreadsheet. A searchable product list with pack and relevant commercial prices is usually easier to work with.
Ensure the text remains readable on a phone and that a product search tolerates common brand-name spelling variations without creating duplicate catalog entries.
Handle new prices carefully
Price changes require more than uploading a new file. Confirm the effective date, responsible approver and whether any previously placed orders use the old rate.
Notify the team through the normal internal channel and make it clear which version supersedes the previous one. A rate-change audit is particularly important when schemes are tied to limited periods.
Add a field-level validation habit
Before a field representative prepares a high-value or unusual order, ask them to verify the product pack and rate against the official list. Management can use sample Excel templates to speed upload, but every import still deserves a spot check.
