POB Booking for Medical Representatives: How to Prepare a Chemist Order

How digital POB booking can remove repetitive calculation and documentation from chemist visits.

THE SHORT ANSWER

Personal order booking, commonly shortened to POB, is familiar field work for many pharma representatives. The challenge is rarely entering one line of product detail.

The challenge is keeping the party name, pack, rate, free goods, totals and order copy accurate while the chemist is handling customers.

What matters most

A good POB workflow makes the order easier to check, not merely faster to type.

Before you decide
  • Confirm party and supply point
  • Check product and pack identity
  • Inspect rate, free goods and totals
1Begin with the right party and product
2Check the correct PTR or agreed chemist rate
3Confirm before submitting
4What to do when your internet connection drops
01

Begin with the right party and product

Before creating an order, confirm the chemist or customer identity and the intended supply arrangement. Select the product from the company's approved price list when available.

A clean product master reduces mistakes in pack strength, pack size or basic rate. If the app allows a quick product entry, that should not override the company's agreed commercial terms without review.

02

Check the correct PTR or agreed chemist rate

The printed PTR and the final commercial rate are not necessarily the same thing. A digital form should make the selected rate method visible rather than forcing the MR to remember an informal calculation.

Quantities and free goods must be entered clearly. Where schemes affect effective unit cost, the order should show the calculation transparently so the party can check it.

Try the POB price and free-units calculator

Change the three sample inputs. The chart and effective rate update immediately, this is a learning tool, not a company-approved trade offer or a live order

Total units supplied12
Effective amount per supplied unit₹83.33
12 units10 billed, 2 free
10 billed, 83.3%2 free, 16.7%

Formula, effective amount per supplied unit = billed amount ÷ (billed units + authorised free units). The calculation excludes taxes, credit notes, extra discounts and other schemes. Confirm all commercial details against your company's approved price list

03

Confirm before submitting

Read the order back: brand, pack, quantity, free goods, effective rate and total. If the chemist signs on the device, allow them to inspect the final order first.

A signature should confirm the document being shown, not conceal unclear terms. After submission, share a readable PDF or image through the approved channel.

04

What to do when your internet connection drops

Some systems support locally queued orders. That can be useful, but an offline draft is not automatically a server-confirmed order.

Staff must be able to distinguish pending synchronization from a confirmed order number. The manager should define when stockist processing can begin.

Practical checklist
  • Confirm party and supply point
  • Check product and pack identity
  • Inspect rate, free goods and totals
  • Save and share only after review
  • Verify the final sync status
Key takeaway

A good POB workflow makes the order easier to check, not merely faster to type.
